How Rostered collects, uses, shares, and protects information from youth sports clubs, teams, coaches, athletes, and families.

Rostered ("Rostered," "we," "us," or "our") is a product of Settle Up, LLC. Rostered helps youth sports clubs, teams, coaches, athletes, and families organize their seasons through our websites, mobile applications ("App"), and related online and offline services (together, the "Services").
This Privacy Policy ("Policy") explains how we collect, use, share, and protect information about you, and what choices you have.
By using the Services, you agree to this Policy and to our Terms of Use. If you do not agree, you must not use the Services.
We may update this Policy from time to time. When we do, we will change the "Last updated" date above and may provide additional notice as required by law. Your continued use of the Services after an update means you accept the revised Policy.
1. Rostered Services and Users
1.1 Our Services
Clubs and teams use Rostered to:
- Create and manage clubs, teams, rosters, and events.
- Share schedules, locations, and updates.
- Coordinate RSVPs and availability.
- Communicate via in-app messaging, notifications, and email.
- Track attendance, basic stats, and other team-related information.
- Share photos, videos, and other media from practices and games.
Users can post, upload, or otherwise submit information about athletes and teams ("Team Data"), as well as photos, videos, and other materials ("Media Content"). Together, we call Team Data and Media Content "User Content."
We also collect information about account holders and their use of the Services, such as profile details, login information, and usage patterns ("User Data").
1.2 Our Users
We typically have the following types of users:
- Registered User: Anyone who creates a Rostered account (for example, a club administrator, coach, guardian, athlete, or staff member).
- Club/Team Admin: A Registered User who has administrator rights for a club or team and can invite users, manage rosters, edit events, and control certain privacy settings.
- Guardian: A Registered User who manages an athlete's participation (for example, a parent or legal guardian).
- Athlete: A person participating in a team or club. Athletes may or may not hold their own account, depending on age and how the club is configured.
- Guest: Anyone who visits our public-facing website or views shared content without creating an account.
1.3 How We Handle Personal Information
"Personal Information" means information that identifies or can reasonably be linked to a particular person (for example, name, email address, or device identifier).
We handle Personal Information in accordance with this Policy and our Terms of Use. In many cases, Club/Team Admins are responsible for the User Content they create or control, including Team Data about athletes. They choose what to collect, what to upload to Rostered, and how to share it within or outside their club.
2. How We Collect Information
We may collect information in the following ways:
- Directly from you: When you create an account, update your profile, use our Services, contact support, or otherwise communicate with us.
- Through your use of the Services: Automatically, via cookies, SDKs, and similar technologies (see Section 4).
- From Club/Team Admins and Organizations: When they create or update rosters, schedules, or other records that include you or your athlete.
- From other users: For example, when a coach records attendance for a practice, a teammate shares a photo, or a guardian adds an emergency contact.
- From third parties: Such as analytics providers, payment processors, or sign-in providers (e.g., Google Sign-In) that you choose to connect.
3. Categories of Information We Collect
3.1 Information You or Other Users Provide
Examples include:
- Account and profile information: Name, email address, password, role (coach, guardian, athlete, admin, etc.), and optional profile details (such as profile photo).
- Club, team, and roster information: Club name, team name, roster spots, roles, jersey numbers, positions, age group, and similar data.
- Athlete-related information: Athlete name, approximate age or birth year, roster status, attendance, and basic performance notes, as entered by coaches or guardians.
- Contact and guardian information: Guardian name, relationship, email address, phone number, emergency contacts, and other contact details.
- Scheduling and attendance information: Event dates, times, locations, RSVPs, availability, attendance records, and related notes.
- Communications: Messages, comments, and other content sent through the Services, including email, push notifications, and in-app messaging.
- Media Content: Photos, videos, and other content that users upload or share through the Services.
- Payment information (if applicable): If we later support payments (for example, for subscription fees or event registrations), our payment processor may collect and process card information on our behalf. We do not store full payment card numbers on our own servers.
- Surveys and feedback: Responses to surveys, reviews, or feedback forms.
- Support and inquiries: Information you provide when you contact us for help or report a problem.
If you provide us with information about someone else (for example, your child or another contact), you represent that you have the authority to do so and to allow us to use that information as described in this Policy.
3.2 Information from Club/Team Admins and Organizations
Club/Team Admins and organizations may provide Personal Information about you or your athlete, such as:
- Roster and eligibility information.
- Practices, games, tournaments, and other event details.
- Attendance and participation records.
- Basic stats or performance notes (where used).
- Relationships between users (e.g., guardian of an athlete, coach for a team).
We do not control how clubs and teams choose to collect and use information outside of our Services. Their own privacy practices may apply in addition to this Policy.
3.3 Information from Third Parties
We may receive information from:
- Analytics providers: To understand how the Services are used.
- Authentication/sign-in providers: If you sign in with a third-party account (for example, Google), we may receive basic profile information as allowed by those services.
- Service providers: Such as email or notification providers, who may provide delivery and engagement information (for example, whether a message was opened).
3.4 Job Applicants, Employees, and Contractors
If you apply for a job with Settle Up, LLC or work with us as an employee or contractor, we may collect additional information such as your resume, work history, contact details, tax and payment information, and other data needed for hiring and HR. Those practices may be described in separate notices at the time of collection.
3.5 De-Identified and Aggregated Data
We may de-identify or aggregate data so that it no longer reasonably identifies a specific person. We may use and share such data for any lawful purpose, such as analytics, product improvement, or research.
4. Online Activity, Cookies, and Similar Technologies
We and our service providers may use cookies, local storage, SDKs, pixels, and similar tools ("Activity Tools") to collect information about how you use the Services, such as:
- Usage details (pages and screens viewed, features used, time spent, clicks).
- Device information (IP address, device type, operating system, app version, browser type).
- General location information (for example, based on IP address).
- Mobile app information (device IDs, crash logs, performance data).
We use this information to:
- Operate and secure the Services.
- Remember your preferences and keep you signed in.
- Analyze usage and improve our features.
- Personalize certain content and communications.
- Detect and prevent fraud or misuse.
You can adjust your browser or device settings to limit or block certain cookies or app permissions. However, some features of the Services may not function properly if you do so.
5. Children's Information
Rostered is mainly used in youth sports settings, but accounts must be created and maintained by adults who can accept our Terms.
- We do not knowingly allow children under 13 to create their own accounts without verifiable consent from a parent or legal guardian.
- Information about child athletes (such as name, team, attendance, and photos) is typically provided by Club/Team Admins or guardians.
- By providing child-related information to the Services, the adult (club, coach, or guardian) represents that they have authority to do so and to permit the use of that information as described in this Policy.
If you believe we have collected Personal Information from a child under 13 without appropriate consent, please contact us (see Section 13). We will review and, where appropriate, delete the information.
6. How We Use Personal Information
We may use Personal Information for purposes allowed by law, including to:
- Provide, maintain, and improve the Services.
- Create and manage accounts and profiles.
- Manage clubs, teams, rosters, events, and schedules.
- Facilitate RSVPs, availability, and attendance tracking.
- Enable messaging and notifications between users.
- Respond to questions, support requests, and feedback.
- Send service-related communications (for example, changes to events or policies).
- Customize certain content and recommendations in the Services.
- Analyze usage and develop new features.
- Monitor and help protect the security and integrity of the Services.
- Enforce our Terms, prevent fraud or misuse, and comply with legal obligations.
- For hiring, HR, and contractor management (where applicable).
We may combine information collected across the Services or from different sources, and treat the combined information as Personal Information as long as it remains identifiable.
7. How We Share Personal Information
We may share Personal Information in the following ways, as allowed by law:
7.1 Within Clubs, Teams, and User Groups
- Club/Team Admins, coaches, guardians, and athletes may see certain information related to their club or team, such as rosters, schedules, RSVPs, contact details, and Media Content, depending on roles and settings.
- Some information may be visible to other users on the same team (for example, a roster including names and jersey numbers).
Club/Team Admins control many of the sharing decisions within their organization. We cannot control how they or other users choose to share or export information outside the Services.
7.2 Service Providers
We may share information with trusted service providers who help us operate the Services, such as:
- Hosting and infrastructure providers.
- Authentication and identity providers.
- Email, SMS, and push-notification providers.
- Analytics and error-monitoring services.
- Payment processors (if applicable).
- Customer support tools.
These providers may access Personal Information only as needed to perform services for us, and are generally required to protect it and use it only for our specified purposes.
7.3 Legal, Safety, and Security
We may disclose information if we believe it is necessary to:
- Comply with law, legal process, or government requests.
- Protect the rights, property, or safety of Rostered, our users, or others.
- Detect, prevent, or address security issues, fraud, or misuse.
7.4 Business Transfers
If we are involved in a merger, acquisition, financing, reorganization, sale of assets, or similar transaction, your information may be transferred as part of that transaction, subject to any applicable legal requirements.
7.5 With Your Direction or Consent
We may share information with other parties when you ask us to, when you choose to integrate with a third-party tool, or when you otherwise consent.
We do not sell Personal Information in the common sense of "selling" address lists to data brokers. If we ever engage in practices that are considered a "sale" or "sharing" under applicable privacy laws, we will provide required notices and choices.
8. Interest-Based Advertising and Analytics
At this time, Rostered's primary use of data is to provide and improve team-management features, not to show consumer advertising.
We may, however, use third-party analytics services to understand usage and improve the Services. These services may use cookies, device IDs, and similar tools to help us measure performance and trends across users.
If we later use interest-based advertising, we will update this Policy and provide appropriate notice and choices.
You can typically:
- Use your browser settings to limit or block third-party cookies.
- Use your mobile device settings to limit ad tracking or reset your advertising identifier.
9. Your Choices
You have certain choices regarding how we use your information.
- Account settings: You can review and update certain account and profile information in the App or web interface.
- Email communications: You may opt out of non-essential marketing emails by using the unsubscribe link in those emails. We may still send you important service or account-related messages.
- Push notifications: You can manage app notification permissions in your device settings or within the App where available.
- Text messages (SMS): If we offer SMS notifications and you opt in, you may opt out at any time by following the instructions in the messages (for example, replying STOP) or via your account settings.
- Cookies and similar tools: You can manage cookies through your browser settings. Disabling certain cookies may affect functionality.
- Location information: You can control whether the App can access precise location via your device permissions. Some features (like map directions) may not work without location access.
For athlete and team information that is controlled by a club or team, please contact the relevant Club/Team Admin to manage that information.
10. Accessing, Updating, and Deleting Your Information
If you have an account, you can:
- Log in to view and edit certain profile details.
- Request that we delete your account by using in-app tools (if available) or contacting us (see Section 13).
When we receive a deletion request:
- We may keep some information as required or allowed by law (for example, for recordkeeping, security, or dispute resolution).
- We may retain de-identified or aggregated data that does not identify you.
- Club/Team Admins may still retain copies of information that they exported or stored outside the Services.
For team- or club-controlled information (such as past roster records), we may direct you to the relevant Club/Team Admin.
11. Security and Retention
We use administrative, technical, and physical safeguards designed to protect Personal Information, including:
- Encryption in transit (for example, HTTPS).
- Access controls and authentication.
- Monitoring for unusual activity.
No system is completely secure. We cannot guarantee perfect security, but we work to protect information in line with industry practices. If we are legally required to notify you of a security incident, we may do so by email, in-app message, or other allowed method.
We retain Personal Information:
- For as long as your account is active.
- For as long as needed to provide the Services and legitimate business purposes.
- As required or allowed by law (for example, tax, accounting, or legal obligations).
12. Third-Party Sites, Apps, and Services
The Services may link to or integrate with third-party websites, apps, or services. Those third parties have their own privacy policies and practices, which we do not control.
We encourage you to review the privacy policies of any third-party services you use in connection with Rostered (for example, email providers, file-sharing services, or joint event platforms).
13. State and Regional Privacy Rights
Depending on where you live, you may have additional rights under local privacy laws (for example, rights to access, correct, or delete Personal Information, or to limit certain types of processing).
If you are a resident of a jurisdiction that provides such rights, you can submit a request by contacting us as described below. We may need to verify your identity before responding and may deny or limit requests as allowed by law.
If a Club/Team Admin has provided your information to Rostered, we may also ask you to contact that organization directly for certain requests about Team Data they control.
14. International Use
Rostered is operated from the United States and is designed primarily for use by organizations based in the United States.
If you access the Services from outside the United States, you understand that your information may be transferred to, stored in, and processed in the United States or other countries, where privacy laws may be different from those in your place of residence. We will protect Personal Information as described in this Policy, regardless of where it is processed.
