Frequently Asked Questions

What is Rostered and who is it for?

Rostered is a team management platform built specifically for youth sports clubs. It brings scheduling, rosters, RSVPs, team communication, and attendance into one system, so parents, coaches, and club administrators don’t have to juggle spreadsheets, group chats, and email chains. Whether you run a water polo club, swim team, or any team-based sport, Rostered keeps everyone on the same page.

How does Rostered reduce confusion for parents and coaches?

Every schedule change, RSVP request, and team update lives in one place. Parents see their family’s full schedule across all their children and teams — no more checking three apps to figure out who needs to be where. Coaches get real-time headcounts and can see who’s coming, who’s not, and who hasn’t responded. Automated reminders go out before events so families who forgot to RSVP get a nudge.

Do parents need to download an app to use Rostered?

No. Parents can RSVP directly from email notifications — one tap, no login required. Everything is also accessible through the web at any time. For families who want the full experience, Rostered has native apps for both iOS and Android with push notifications, quick RSVP, and a family schedule view.

How does event availability and attendance work?

Coaches and admins can enable RSVPs on any event — practices, games, tournaments, or custom events. Parents receive a notification and can respond per athlete with a single tap from email or the app. Coaches see a live attendance dashboard showing confirmed, declined, and pending responses, so they always know their numbers before an event.

Can coaches and administrators manage everything without spreadsheets?

Yes — that’s the whole point. Rostered has built-in tools for managing athletes, families, teams, divisions, cohorts, locations, and schedules. Club admins can import their existing roster directly from platforms like SportsEngine, set up recurring practice schedules, and manage the full season calendar without ever opening a spreadsheet.

Can coaches send polls to their team?

Yes. Coaches can create polls and send them to specific teams, divisions, or the whole club. Use polls to vote on practice times, tournament preferences, team decisions, or anything that needs group input. Athletes and parents respond directly from the app or web, and results update in real time.

How does team messaging work in Rostered?

Rostered includes Huddles — built-in group messaging channels for teams, divisions, or custom groups. Coaches can send updates, share information, and have conversations without relying on WhatsApp or iMessage groups. Channels are created automatically for each team and division, with reactions, attachments, @mentions, and per-channel unread counts, so a message to the U12 team stays separate from every other group you’re in.

Where do I find an email the coach already sent?

In the app. Emails that coaches and admins send through Rostered are listed right in the app, so you don’t have to dig through your inbox to find Tuesday’s update again. Replying works like normal email — you reply from your email client, the same as any other message.

Can I import my existing roster into Rostered?

Yes. Rostered supports importing athletes and families directly from SportsEngine exports and CSV files. The import wizard lets you preview every family before importing, make edits, and choose exactly who to bring in. You can also control whether welcome emails go out immediately or send them later.

Can parents share their family’s schedule with their own calendar?

Yes. Rostered provides calendar subscription links (iCal) that parents can add to Google Calendar, Apple Calendar, or Outlook. The calendar stays automatically synced — when a practice gets rescheduled or a new game is added, it shows up in the family’s personal calendar without any extra steps.

Can we track club expenses and receipts?

Yes. Snap a photo of a receipt from your phone and Rostered’s AI reads it and fills in the expense details for you. Scan receipts on the go and turn them into expenses and reports later, and track and approve spending with a clear review step — no shoebox of receipts or end-of-season spreadsheet scramble.

How much does Rostered cost?

Parents and athletes use Rostered for free. Clubs choose a package that fits their size (Squad, Team, Club, Academy, or Elite) and pay one flat monthly fee based on athlete count, from $9 to $199 a month. See the packages for what each tier includes.

Does Rostered replace TeamSnap or SportsEngine?

Rostered is an alternative to TeamSnap and SportsEngine, focused on what youth sports clubs need most. Check out our Rostered vs TeamSnap and Rostered vs SportsEngine comparisons for details.
